• Transaction & Payment Data: Payment receipts, transaction references, billing address (processed securely via third-party payment gateways; we do not store full credit card details).

• Media & Visual Data: Photography, video recordings, and live stream footage captured during the event.

• Technical & Browsing Data: IP address, browser type, device information, and website interaction data collected via cookies through Wix Studio.

HOW AND WHY WE PROCESS YOUR DATA (LEGAL BASES)
We process your personal data under the following legal bases pursuant to Article 6 of the GDPR:

• Performance of a Contract (Art. 6(1)(b)): Processing necessary to handle your competition registration, verify eligibility, schedule performances, communicate event updates, and manage your participation.

• Legitimate Interests (Art. 6(1)(f)): Managing event operations, promoting future AERIS events, responding to inquiries, ensuring website security, and improving our services.

• Consent (Art. 6(1)(a)): Sending marketing newsletters, using non-essential website cookies, or publishing athlete features and personal stories online. You can withdraw your consent at any time.

• Legal Obligation (Art. 6(1)(c)): Retaining invoicing and financial transaction records to comply with Belgian tax, accounting, and legal requirements.

Our website is hosted on Wix Studio. We use essential cookies required for the site to function securely. MEDIA, PHOTOGRAPHY, AND IMAGE RIGHTS
As part of the AERIS Championship experience, official photographers and videographers will record the live event on 11–12 September 2027. Images and videos of performances may be used for event promotion, social media, recap videos, and future competition marketing. Competitors acknowledge this processing as part of their participation agreement, and specific media waiver terms are provided during registration.

HOW WE SHARE YOUR DATA
We do not sell, rent, or trade your personal data. We only share data with trusted third parties necessary for event execution:

• Service Providers: Hosting platforms (Wix Studio), email communication services, and cloud storage providers.

• Competition Staff & Judges: Panel judges and operational team members (only data strictly necessary for scoring and athlete safety).

• Financial & Legal Authorities: Payment processors, accountants, and Belgian tax authorities when required by law.

• Event Sponsors: We do NOT share athlete contact details with sponsors unless you explicitly opt in (e.g., for specific giveaways, athlete care perks, or direct discount codes).

INTERNATIONAL DATA TRANSFERS
Some of our service providers (such as Wix Studio or email systems) may process data outside the European Economic Area (EEA). Whenever personal data is transferred outside the EEA, we ensure appropriate safeguards are implemented, such as Standard Contractual Clauses (SCCs) approved by the European Commission or adequacy decisions.

DATA RETENTION
We retain personal data only as long as necessary to fulfill the purposes for which it was collected:

• Competition Registration & Performance Data: Retained for up to two (2) years following the event for administrative and promotional review.

• Accounting & Tax Records: Retained for seven (7) to ten (10) years in accordance with Belgian legal and statutory obligations.

• Inquiries & Email Communications: Retained for up to one (1) year after resolution.

YOUR GDPR RIGHTS
